Spin-A-Fax

Spin-A-Fax processes ASCII files from accounting systems (and other systems) and produces high quality documents, which Spin-A-Fax will fax, email or print as instructed.

Spin-A-Fax for CBA includes a suite of CBA Dataflex programs which produce the ASCII files required by Spin-A-Fax.  Documents available in Spin-A-Fax for CBA include :

  • Purchase orders

  • Remittance advices

  • Invoices

  • Statements

  • Packing slips

Faxes are sent using a direct interface with WinFax, emails are sent using a SMTP server and print-outs are produced to any Windows printer (networked or stand-alone).

The following diagram best explains the relationship between Spin-A-Fax, CBA (or other accounting software) and Spin-A-Fax's output mediums :

ASCII files are produced by CBA or other software and placed in a pre-determined folder which Spin-A-Fax is configured to monitor.  The files are processed automatically by Spin-A-Fax when they appear in the folder.  Each ASCII file contains certain mandatory fields which indicate the destination type (print, email or fax), the destination address (printer name, email address or fax number) and the document template to use.  The template defines the layout of the document and "maps" fields from the ASCII file to positions on the final document.

When sending faxes, it is not uncommon to require confirmation of the success or failure of a fax, as it may be critical (like an emergency purchase order).  Spin-A-Fax monitors each fax and is able to relay the final status (success or fail) to the originator of the document via email.  This gives for example the purchasing officer the feedback required to check the fax number on a failed purchase order fax should that be the error.
